Introduction

Everyone that applies for job a is dreaming to get appointment letter. Unfortunately, not everybody will get letter of appointment. Appointment letter is a document that is sent after an offer letter is sent to selected candidate that have gone through interview or test. Appointment letter is a confirmation letter that is issued to selected candidate that is qualified after application of their interest. This letter may be in soft copy that is sent directly to your mail or hard copy that is sent to your home address. Appointment letter is issued after a verbal agreement. This article will contain all the necessary things that you need to include in an appointment letter.

 

Is appointment letter the same as offer letter?

There is a little difference between letter of appointment and offer letter. An offer letter is the first letter that is sent to selected candidate after interview which includes the rules and regulation of the company, salary, leave policy ,location, working hours, resumption time and all. The employer expect the employee to send the letter back after the selected candidate signature has appeared on the letter to which it means he/she has accepted the offer like that. The appointment letter is sent after the selected candidate that sent the offer letter was sent to has accepted the offer. Not all company issues offer letter.

 

What should Appointment Letter includes?

For every employer, he/she must have the habit of issuing appointment in order to have everything in record in case the person misbehaves or go against the rule of the company. It help build strong relationship between the employer and the employee to some extent. Below are what should be included in an appointment letter.

Name - This will include the name of the employee. This letter should have the name of the employee in it for the employee to confirm that the letter is for him or her.For example,

Company name - The employer should have it in mind that the employee might have been offered job by many companies, it is essential to write the company name so that the employee will know the company that has appointed him successfully. For example,

Date of appointment - The day that the employer appoint the selected candidate for a position in the company should be included in the letter of appointment.

Congratulations on you appointment on the "12th  October 2019" and hereby to resume on the 1st  of November 2019.

Role(s) - For every employee, there will be a role. Every employee is employed for a specific role and which will be included in the letter.

“As a full time heath writer of the company, you will responsible for all the health talks with your team mate that will be duly selected for you on your resumption date”.

Leave policy -  The employee may want to leave the job or be absent for some time, the leave policy will be the one to guide the employee. The standard resignation notice is two weeks and leave of absence is three days. There will be punishment for anybody that go against the rule as decided by the employer.

Please make sure you have it at the back of you mind that,whenever you are willingly to leave the job, you must give at least two weeks notice and as per absence, you should give three days notice.

Job title - This letter should have the selected candidate job title in it. This is the title of the post the person will hold at the company.

Working hours -  For every work , there is a working hours. The working hours should be included in the letter. They may include your right to over time work and the benefit of the overtime work but this option is for laboring jobs.

For being the full time health writer of the company, you will resume at our branch in Cangolre under the supervision of Mr Fola the head of health writers from “8am to 4pm on Monday to Friday”.  

Probation Period - The letter should include the number of day you will be watching his/her character.

Start date - this is the resumption date and that is decided by the employer. This is the date that is suitable for you but must be included in the letter.

Employment benefits - Every work will have its benefit, so you will include if you will give the selected candidate official house, car and all that.

On your resumption day , you will be given official house and car and sign the necessary document for your health insurance . You will have access to travel to any country of your choice every December.

Job location - Some company has branches all over and the letter should include the location of where the selected candidate will resume.

Supervisor - This is not that necessary but it is good if included. This is the name of the person that you will report to. His position should be stated too.

Salary - Employee should state the amount the employee will be paid and salary periods.

You will be paid as per article you publish of 1 article at $100.  

Terms and conditions -  Letter of appointment should contain the terms and condition of the company and work which should be duly followed. Please, you need to adhere to the company terms and condition which as follows 

If you leave the company without proper notice, you will not be entitled to your pension and if you are absent without proper notice, your salary will be deducted by 2% of the whole moths.

We are happy to appoint you as the a Graphics designer of Teledalase Group of Works.We are anticipating to see on the 15th of May, 2020 to resume work fully.

You being the a graphics designer, you are hereby responsible for the designing of all Teledalase Group of works graphics.

You are hereby to report directly to Mr Ismail as the head of graphics design department. You will be paid $10,000 per month and you are to resume work from 8am to 4pm from Monday to Friday every week.

We are here to offer you some benefit like medical insurance, over time work.

Please make sure you have it at the back of you mind that,whenever you are willingly to leave  the job, you must give at least two weeks notice and as per absence, you should give three days notice.

Please do report to the supervisor of the department on the date in the letter.
